Maintain Site 

VisitorRego.NET is distrbuted with one site named 'Head Office'. The screen shot below shows this site.

There must be at least one site for VisitorRego.NET to operate. This site can't be deleted, but it can be renamed.  

Multiple sites can be specified. e.g. a company may want to run VisitorRego at three branch offices. When a person visiting one office is registered, their details are avaliable to all other offices. If they then visit any other office their details will be retrieved.

Staff members are specific to each site. The 'Meeting With' combo is only populated with staff members in that site.

Opening Maintain Site (File>Maintain Site)




The site screen when first opened:

The name of the current site is shown at the top of the data grid – in this example the site is ‘Head Office’.

Site Name of the site. This name is shown in the title bar of the registration screen.
Label Template The name of the label template used to print the label. This template is specific to the site.
Open Click on the button to open and edit the label template using the VisitorRego.NET report writer. This template can then be modified/maintained to meet your exact requirments.
Health & Safety The name of the health and safety template instructions that will be displayed to the visitor.
Open Click on the button to open the health and safety template. This template can then be modified/maintained to reflect the health saftey requirements of the site.

Welcome If the site is running VisitorRego.NET Self Registration, then a 'Welcome' screen can be shown which is the first screen a visitor sees.
Open Click on the button to open the 'Welcome' screen template.

Banner If the site is running VisitorRego.NET Self Registration, then a banner is shown on the registration screen.
Open Click on the button to open the Banner screen template.

Default Site Flags the site that is default site. One site must be specified as the default site. All reporting is site specific.
Active Once a site is created, it can't be deleted. If a site is no longer required then uncheck this flag to deactivate the site. It won't then be able to be selected for reporting on.

Note: The program that Microsoft Windows uses to edit the template depends on your specific system and the suffix of the file. It is intended that all files with a suffix of .bmp that Microsoft Paint is used to modify the template. Files with a suffix of .gif you will need a graphics program that can edit .gif files (a .gif is used for the self registration banner as this graphic has the background set as transparent i.e. the graphic looks part of the screen). These templates are in the directory defined by the maintenance screen File Locations 

To set the program Windows will use to open the template:

1. Windows XP (and 2000)
    a. From Windows Explore, from the main menu select 'Tools'; 'Folder Options' opens the 'Folder Options' dialogue
    b. Click on the 'Folder Types' tab; select the file suffix to change i.e. select 'BMP' to change the program that Windows uses to edit .bmp files
    c. Click on the 'Change' button; select 'Paint'
2. Vista
    a. Location the template File Locations
 using Windows Explore
    b. Right click on the template (within Windows Explore)
    c. Click on the 'Change' button on the line labeled 'Opens With'
    d. Click on 'Paint' to use Microsoft Paint to edit the file (specifically .bmp files)

To add a site:

1. Click in a new row - the row indicated by an * in the row selection box. 
2. Type the details of the new site. The new record will be created when moving on to a new row or the form is closed
3. If an existing health and safety template or label template is to be used then enter the name of the template. If a new template is to be created, use an existing template, make the changes required, then save it using a different name. Then enter the name of the new template into the label/health and safety template cell.

To change a site:

1. Click in the cell and make the change as required. When the row is exited from the database will be updated. 

To delete a site:

1. Once a site is created it can't be deleted as this would create orphan records. If a site is no longer required then deactivate it by unchecking the 'Active' check box.
