Maintain Departments 


Staff members can be associated with a Department. Staff members then inherit a number of properties from the Department.

These are:

  • The Default Location. This is usually the location where staff members meet visitors.
  • Health & Safety. These can be department specific. For example, the health and safety requirements for an office process are quite different from an industrial process.
  • Label Template. These can be department specific; again individual departments may have quite different requirements in managing their visitors. 

VisitorRego.NET is released with two department template, which can be modified and copied to reflect your actual organisation.

Opening Maintain Departments (File>Maintain Department)



When you first open this screen it looks like the screen shot below.



The data grid is labeled by the name of the site – in this example the site is ‘VRL Head Office’. The site name can be set by going to Maintain Site

Department Name of the department
Default Location The default location where staff members meet people e.g. Ground Floor Board Room
Health & Safety The name of the health and safety template instructions that will be displayed to the visitor.
Open Tthe file suffix which can be set using Windows File Type option. Or the template can be maintained outside of VisitorRego.NET.

Label Template The name of the label template used to print the label. This template can be specific to the department.
Open This button, when clicked opens the label template using the VisitorRego.NET report writer.

Note: The program that Microsoft Windows uses to edit the template depends on your specific system and the suffix of the file. It is intended that all files with a suffix of .bmp that Microsoft Paint is used to modify the template. Files with a suffix of .gif you will need a graphics program that can edit .gif files (a .gif is used for the self registration banner as this graphic has the background set as transparent i.e. the graphic looks part of the screen). These templates are in the directory defined by the maintenance screen File Locations 

To add a department:

1. Click in a new row - the row indicated by an * in the row selection box. 
2. Type the details of the new department. The new record will be created when moving on to a new row or when the form is closed
3. If an existing health and safety template or label template is to be used then enter the name of these templates. If a new template is to be created, use an existing template, make the changes required, then save it using a different name. Then enter the name of the new template into the label/health and safety template cell.

To change a department:

1. Click the cell and make the change as required. When the row is exited from the database will be updated. 

To delete a department:

1. Highlight the entire row by using the row selector (grey cell to the left of the department to be deleted). Press the delete key to delete the department.


2. Several records can be deleted at the same time. To delete a series of records click on the first department to be deleted, hold the the <shift key> while clicking the last department in the selection to be deleted. This highlights the selection of departments to be deleted. Then press the <Delete> key to delete the records. Groups of selected departments that are not in consecutive order can also be deleted. Click the first department to be deleted, hold the <ctrl key> while clicking the other departments to be deleted. This highlights the selection of departments to be deleted. Then press the <delete> key to delete the records. Take care, once deleted the records are gone!
