Data - Visitor Specific 


The following topics describe how the data in VisitorRego.NET can be setup and maintained.

The following defines the data structure:




The data in the tables Site, Department and Staff describe your company. The data in the tables Visitor Name, Visitor Company and Register are all added when a visitor is registered. 

Site
VisitorRego.NET is multi site i.e. Most companies consist of more than one site (or physical location). Visitor management can be implemented company wide using one centralised database, or it can be installed with each site in their own database.

Either way each site must have it's own site record. the Site record defines default settings for the site, these being the defaults for the label template, welcome screen, health and safety and self registration screen banner.

Department
Under each site there can be many departments. The department record defines default setting for the department, these being department specific health and safety rules and department specific visitor labels i.e the health and safety requirements of a visitor visiting a department industrial area are quite different from those visiting an office area.
 
Staff
A preresquisite for all visitors is that we need to identify the staff member they are meeting with or the reason why they are one site. Pre loading the details of staff members helps in registering visitors. There are automated processes built around staff members  in terms of the default meeting room and automated notification of the staff member either by email or txt messaging.

Visitor Name
When a visitor is registered the details are captured and stored in the database. If they return at a later date their details are retrieved and updated as required.

Visitor Company
Many visitors come from the same company

Register
When a visitor comes on site their details, the person they met with dates and times are captured and remain as a snap shot of their visit.
